The Project Coordinator in the Customer Experience (CX) is a PART TIME position, where you will play a vital role in ensuring the efficient and effective operation of various critical functions. You will oversee CX budget tracking, working closely with finance and stakeholders to maintain alignment with budget goals. Your expertise will guide team members in navigating Purchase Requisitions (PRs) and Purchase Orders (POs) processes, fostering accurate and streamlined procurement workflows.
 This role requires excellent organisation and communication skills along with the ability to define and meet deadlines and coordinate with both teams and external vendors to ensure organisational goals and expectations are met. You will leverage frameworks and processes which enable the team to effectively manage projects and initiatives across the globe while ensuring a consistent and impactful customer experience.

Our expectations of you:  Budget tracking & PO/PR assistance Oversee the CX budget and ensure alignment with budget goals.Monitor and track expenses, providing regular updates to the CX team and management.Collaborate with finance and relevant stakeholders to address budget-related matters.Offer guidance and support to team members in initiating, entering, and tracking Purchase Requisitions (PRs) and Purchase Orders (POs).Assist in navigating the SAP system, addressing queries, and troubleshooting issues related to POs and PRs.Manage and reconcile credit cards for the CX team, ensuring accurate record-keeping and compliance with company policies.Collaborate with finance to address any discrepancies or issues related to credit card transactions.Ensure Internal Order Numbers are applied correctly for accurate budget tracking.Technology administration:  Lead the coordination of tech asset purchase or renewals with the Vendor Management Office (VMO).Work closely with super users for each technology asset to ensure a seamless renewal or purchase process.Manage communication, documentation, and timelines for tech asset renewals. Project management support and tool administrationProvide ongoing project management support to ad hoc projects that come into the CX Team.Act as the ClickUp Administrator, responsible for managing the platform and its functionalities.Add new members, configure custom fields, update statuses, and ensure optimal utilization of ClickUp.Provide trainign and support to team members on using ClickUp effectivelyServe as the primary point of contact for onboarding new vendors, following established processes.Facilitate communication between vendors, CX team members, and relevant departments.Ensure smooth vendor onboarding and adherence to organizational guidelinesSkills , Knowledge and competencies required to be great at this role:  Excellent relationship building skills and ability to collaborate effectively. Excellent oral and written communication skillsCreative, balanced, and informed approach to problem solving. Tenacity, persistence and focus with the ability to prioritize between multiple tasks. Innovative, open, and able to work in a fast growing, fast paced environment.Experience in a role focused on project coordination, client management or operations coordination. –Excellent interpersonal skills Ability to educate and teach your colleagues on systems and processes effectively. Strong analytical and problem-solving skills Methodical and balanced approach to project management Motivated team player with a focus on outcomes ClickUp PM experience, or other equivalent tool#LI-TS1
