Details of the offer

The purpose of the Institute for Innovation and Improvement (i3) is to provide dedicated resources, expertise and support for clinical teams to design and implement improved, innovative best models of care that ensure Waitemata DHB is a leader in health outcomes and patient experience.
We need a highly organised and innovative team player to help enable us to achieve this vision.
In this role you will be required to provide proactive, efficient and comprehensive personal assistance and support to the Director of the Institute for Innovation and Improvement (i3) and the i3 senior leadership team.
In a creative environment there is ambiguity, so it is vital you are self-directed and can demonstrate the capability use your initiative each and every-day.
This role will be best suited an experienced, creative and energetic administrator.
Responsibilities:
• Provide extensive diary and email management
• Work with the Director and the i3 team to ensure work is completed on time
• Co-ordinate content and compile reports and other documents
• Prepare meeting agendas, manage meeting logistics and take minutes
• Coordinate events
• Financial coordination (raise purchase orders, process invoices)
• Basic office administration (processing incoming mail, order stationery, manage IT issues and travel coordination)
Requirements:
• Excellent communication skills - acting as first point of contact for welcoming visitors and staff to i3 and a role model of the DHB's values
• Able to build and maintain strong relationships
• Able to work under pressure, handle multiple tasks and meet deadline
• Able to pre-empt problems and resolve them before they need escalation
• Advanced abilities with MS Office
• Strong understanding of office processes
• A flexible and positive manner, and ability to work with ambiguity
