Able to handle phone calls and email correspondence with professionalism.Attention to Detail - High accuracy in financial processing, document handling and task scheduling.Problem-Solving - Aptitude for identifying and resolving issues quickly and effectively.Initiative - Proactive in managing office and project-related tasks, with a keen eye for improving processes.Tasks & responsibilitiesProject Scheduling - Coordinate new group builder jobs, including communication with PMs regarding delays or progress updates. Schedule new existing home installations, ensuring smooth operation and customer satisfaction.Financial Administration - Handle sending of deposit invoices. Import and assign payments. Process job cards from complete through to invoicing. Manage receiving of goods, matching supplier invoices with received goods, confirm pricing, and facilitate their transfer to Xero for payment.Client Documentation - Ensure the completion of relevant documentation, for all completed jobs upon payment reception to all existing and new builds where applicable. Manage recurring job list post-installation.Vehicle Maintenance - Manage fleet maintenance.Communication Management - Ensure prompt and efficient responses to all inquiries via email and phone call handling with professionalism and courtesy.Quotation & Booking Management - Create and schedule new quotes and maintenance job cards based on customer inquiries.
