Job Description The Hope Academy of Senior Professionals (HASP) is a peer-led, lifelong learning organization of over 780 members who meet year-round for fine arts, humanities, social sciences, and science, medicine, and technology learning opportunities in retirement.
The primary role of the Office and Project Manager is to provide administrative support for HASP courses, leadership, and membership. This support includes membership management using established software systems, hospitality management, event coordination and logistics, and facilitating technical course support during and after classes. This position works under the supervision and direction of the HASP Director.
Perform administrative support via regular phone, mail, email, print, and in-person communications Serve as liaison to standing HASP committees and assist with special event and monthly program reservations, event planning, meal organization, and print services Process membership inquiries, applications, renewals, resources, and payments Provide technical support assistance for HASP presenters and participants to ensure program delivery via in-person, virtual, and hybrid modalities Maintain detailed enrollment, attendance, and evaluation records via a digital platform Assist with refreshment, transportation, and hospitality arrangements for HASP events and in-person sessions Manage, schedule, and train a team of front desk volunteer greeters Provide office/meeting coverage in the absence of the HASP Director, as requested Core work hours are 8:30 am– 4:00 pm (M-F), with minimal after hour support Qualifications Proficiency in Microsoft Office and Google suites Proficiency in Zoom video conferencing Strong technical aptitude, intellectual curiosity, and the ability to quickly learn new concepts and tools Experience with office management or administrative support Excellent oral and written communication skills Self-motivated; independently manages multiple projects simultaneously Prepared and organized with strict attention to detail Experience with YouTube channel management or social media promotion preferred Physical Demands This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
