Job Description

Executive support to a Group Manager
Wellington based
We are looking for a highly organised and efficient person for an Executive Assistant position supporting the Group Manager, Primary Health Care System Improvement and Innovation.
This role sits within our Health System Improvement and Innovation directorate which supports and promotes innovation and continuous system improvement through quality commissioning and policy, effective regulation and evidence-based decision making. The Primary Health Care System Improvement and Innovation group has a focus on the primary care, ambulance and pharmacy portfolios.
The role of Executive Assistant is responsible for managing the diary and email of the Group Manager, scheduling meetings and responding to emails. You'll also prepare reports, responses and presentations, manage filing and correspondence, prepare invoices for payment and arrange travel, pass on messages and respond to queries, help track and co-ordinate workflow across the group, and lend a hand on co-ordination tasks and support the team.
To be successful, we are looking for your skills in a Personal Assistant or Secretarial role providing support to a number of individuals, advanced skills in the MS Office Suite and familiarity with the Lotus Notes operating system as well as a high level ability to use initiative, judgment and decision making. You will have:
Previous experience in a Personal Assistant or Secretarial role providing support to a number of individuals
Excellent organisational skills along with the ability to think ahead, use initiative, establish priorities and meet deadlines whilst preserving the highest levels of accuracy and confidentiality
Excellent interpersonal, oral and written communication skills and the capacity to manage relationships at all levels, including with senior Ministry officials and with health sector leaders
Skills to be a self-starter who can manage your own work and peer review the work of others
advanced skills in the MS Office Suite. Familiarity with the Lotus Notes operating system would be an advantage
Previous successful experience in a government Ministry or other government agency would be an advantage.
