Our client, a leading dealership in Northland, has an opportunity for a Vehicle Administration Assistant to join their team. If you are energetic, customer-focused, and have excellent communication skills, we want you to apply for this role.


As a Vehicle Admin Assistant, you will provide essential administrative support for all sales-related documentation and activities within our vehicle administration office. Your role is pivotal in ensuring the smooth and efficient operation of administrative tasks, contributing to a positive customer experience, and supporting overall sales objectives.
Responsibilities & Duties: LTSA – Land Transport Agency: Handle registrations, RUC, relicensing, and change of ownerships efficiently.Manage stationary orders and maintain inventory.Maintain and update LTSA spreadsheets and stay informed about memos and updates.Process plate delivery dockets and return forms promptly.Conduct daily checks, complete audits, and maintain accurate records.Vehicle Stock Control & Sales Processes: Accurately input new and used vehicles into stock systems.Organize and label vehicle books and keys appropriately.Inform sales managers promptly about vehicle arrivals.Prepare comprehensive new and used vehicle sale packs.Ensure compliance with franchise requirements for new vehicle sales profiling.Conduct regular stock takes and maintain toll road accounts.Handle daily filing and upload used car photos to relevant platforms.Customer Care and Satisfaction: Prioritize customer needs and provide exceptional service at all times.Maintain a courteous, helpful, and friendly demeanor.Address customer complaints and feedback promptly, escalating when necessary.Collaborate with colleagues to ensure seamless customer service delivery.Qualifications and Skills: Proficiency in MS Office suite and administrative software.Excellent organizational and multitasking abilities.Strong communication and interpersonal skills.Attention to detail and accuracy in documentation.Ability to handle customer inquiries and complaints with professionalism.Prior experience in automotive administration is advantageous.If you can demonstrate relevant experience and attributes and a desire to be operating at your best, then register your interest today by submitting your CV and Cover letter.
