JOB DESCRIPTION - TE TAIAO / HEALTH AND SAFETY ADMINISTRATOR PURPOSE: Provide effective, professional Health & Safety support to the business across all areas of these disciplines, ensuring the company remains compliant with current legislation at all times. To undertake a comprehensive range of administrative duties for the Taiao team, to a high standard and as required, ensuring the administrative needs of the team are met. SPECIFIC DUTIES & RESPONSIBILITIES: Taiao Administration Maintain efficient procedures for filing and record management. Processing purchase orders/requests. Ensure team file weekly timesheets, check and seek approval from manager, submit to Office Manager correctly and on time. Assisting with all aspects of administrative management, directory maintenance, logistics, equipment inventory and storage. Managing inventory of assets and supplies, sourcing for suppliers (vendors) and submitting invoices, sourcing quotes, working with Office Manager, office admininstrator and receptionist. Coordinating between departments and operating units in resolving day-to-day administrative and operational problems from the Taiao team and H&S. Scheduling and coordinating meetings, interviews, events and other similar activities for the Taiao team. Preparing business correspondence, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook). Answer telephone enquiries from customers, attend to visitors and assist other staff in the organisation with their enquiries. Support staff in assigned project based work. Fill in for reception/office admin if required. Record and track key project activities. Data entry maintaining specific datasystems. Providing high-level project reports and submitting on time. Organisation of special events/training/courses/professional development for Taiao team Booking travel and accommodation and other ad-hoc duties as required. Health and Safety Order and issue PPE gear. Create H&S forms/policies & procedures required for use in field and office. Maintain and update all H&S signs/forms/documents/registers. Run regular H&S meetings. Keep abreast of current legislation. Ensure organisation is meeting H&S requirements and report findings to your manager for escalation to CEO if required. From time to time you may be required to perform duties outside of the scope of this job description to support Te Runanga Nui o Te Aupouri Trust and its subsidiaries as and when required by the CEO. GENERAL DUTIES & RESPONSIBILITIES: Be punctual and work the hours and times specified. SKILLS, EXPERIENCE & EDUCATION: Preferred Qualifications: Certificate or higher qualification in office administration Technical Skills: Highly competent with computer applications, database and organisational structures. Experience & Knowledge: Excellent communication skills. Excellent knowledge of systems and processes. Competency in carrying out administrative functions in a systematic manner. Maintain a work programme and track to completion. A proven ability to work with a wide range of people and personalities. Competence in dealing with conflicting situations.
