We are a team of passionate project and operations professionals who apply a flexible, customer-centric approach to driving change across our business.As the Project Coordinator, you will be responsible for working across the Technology teams, as well as other areas of the business, to establish, improve and maintain project and resource management systems and tools, and to support the successful delivery of Xero’s operational project portfolio. This includes ownership and support of the project management toolsets and assisting with the identification and resolution of project-related risks, issues and actions, as required. This role will be required to learn about our purchasing and finance systems, and may be required to support these processes in support of other team members.What you'll do:

Assist the Project team to establish, implement and improve good project management and key documentation practices across the team
Prepare for and ensure smooth running of project meetings and reports, managing actions and following up with team members to ensure tasks are completed on time
Assist in coordinating and tracking resources and activities to ensure delivery of projects, initiatives and work requests
Support the Technology teams by providing general project and administration support when required, this may include the setup and coordination of project meetings, workshops and events
Establish and deliver initiatives (such as Technology Town Halls) and smaller projects - making improvements to processes where possible
Shadow and support project managers and co-ordinators to deliver successful outcomes for projects
Working closely with the Project Managers to maintain the Technology Confluence pages, making sure teams are consistent in structure, and pages are relevant and updated regularly
Collate Technology project information at a high level to be communicated and distributed as a regular ‘Current Projects Report’ newsletter to Technology and Product teams
Support team members to raise required purchase orders for the Technology team and assist by keeping track of contracts, recurring purchase orders and the receipting and payment processes.
What you’ll bring with you:

Good practical process management skills including documentation and continuous quality improvement disciplines
Ability to influence others by adapting approach to suit the individual in order to achieve the right outcomes and applying feedback where required.
Can demonstrate the ability to quickly build effective working relationships with others at all levels of the organization
Has the ability to pragmatically balance competing demands, priorities, and drivers to achieve a great outcome
Proactive work style, pre-empting work and project tasks where possible
A Tertiary or Project Qualification (such as PMP, CAPM, Prince2 or Agile PM) and/or appropriate industry experience
Experience with identifying, managing and resolving project risks and issues
Most importantly, a can-do attitude and willingness to roll sleeves up and help out where needed!
