The Export Documentation Coordinator will be responsible for coordinating the preparation, processing and verification of all export documentation, ensuring accuracy, compliance, and timely submission. This role requires strong attention to detail, excellent organisational skills, and comprehensive understanding of export regulations and documentation procedures. The role must work closely with internal teams, external partners, and regulatory authorities to facilitate smooth export operations and meet customer requirements.
Document Preparation & Review Prepare and review export documentation, including commercial invoices, packing lists, certificates of origin, and export declarations, in compliance with regulatory requirements and customer specifications.Ensure accuracy and completeness of export documents, including product descriptions, quantities, values, and shipping details.Compliance & Regulatory Requirements Stay informed about changes in export regulations, trade agreements, and customs procedures to ensure compliance.Communication & Coordination Communicate effectively with internal teams, including sales, logistics, and finance, to gather necessary information for export documentation.Liaise with freight forwarders, customs brokers, carriers, and other third-party service providers to coordinate shipment schedules and documentation submission.Document Management Ensure proper archiving and retention of export documentation in accordance with company policies and regulatory requirements.Assist with audits and compliance reviews by providing documentation and information as needed.Continuous Improvement Identify opportunities to streamline export processes, improve efficiency, and reduce costs.Participate in cross-functional teams and projects to support the Company's strategic objectives related to international expansion.
