We are seeking an experience Executive Assistant to join our Auckland team based in our Newmarket project office. You will provide comprehensive support to our Major Projects Director. In this critical role, you will be the Director's trusted confidante, ensuring smooth workflow and acting as a primary point of contact for clients in their absence.
What does it take?
• A minimum of 4 years of experience as an Executive Assistant or similar role ideally in a similar organisation.
• Effective communication and interpersonal skills, both written and verbal, with the ability to confidently represent a Director to clients.
• Experience successfully liaising with senior Alliance partners
• Strong organisational skills with meticulous attention to detail.
• Proficiency in the Microsoft 365 suite.

Key responsibilities:
• Managing the Director's calendar; scheduling appointments, meetings, and travel arrangements.
• Preparing meeting agendas, taking accurate minutes, and ensuring timely follow-up on action items.
• Drafting correspondence, presentations, and reports to a high degree of accuracy and professionalism.
• Liaising directly with clients on the Director's behalf, building rapport, managing expectations, and effectively communicating project updates.
• Managing expense reports and travel arrangements.
• Overseeing administrative tasks and office systems, ensuring smooth day-to-day operations.
• Proactively anticipating needs and providing solutions before they arise.
