About the Role This is a newly created opportunity for an experienced Executive Assistant to join our Auckland office. You will play a pivotal role in providing efficient, effective administrative and operational support to the New Zealand General Manager (GM). This role is ideal for someone who is confident in establishing relationships at all levels and feels comfortable working in a dynamic environment where the General Manager may not always be in the office. This role will be responsible for: Providing comprehensive administrative support to our General Manager, including but not limited to scheduling meetings, inbox and diary management, and preparation of documents Organisation of GM travel plans and also support the wider Senior Leadership Team with travel plans Collaborating with relevant individuals to drive new initiatives forward, especially in the GM's absence Coordination and running of any Senior Leadership Team offsite events from beginning to end to ensure everything runs to plan or is adapted accordingly Supporting Strategy and Internal Communications lead in collating information from stakeholders Personal administration support including family travel and calendar management Work with Facilities Manager and Sustainability team members to make sure the offices are comfortable and welcoming places for staff to work Office management including; maintenance, regulatory inspections, cleaning, security, waste removal Preparation of presentations and reports as required Processing of expenses About You As an ideal candidate you will have an outstanding ability to read between the lines and manage up. You'll be proactive in your approach, have a keen eye for detail, have an exceptional ability to coordinate multiple stakeholders and drive initiatives. Whilst we don't need a computer whiz, we would need you to have at least intermediate to advanced skills in the Microsoft Office suite as this is what we predominantly use. The ideal candidate will be able to plan, coordinate and prioritise in an environment with multiple and sometimes conflicting demands. We would love to have someone to join that has previous experience working closely with leaders in a start-up business.
