Events Administrator Student Engagement University of Canterbury Student Association (UCSA) Fixed Term The Opportunity Orientation is an incredibly busy time for the team, and we need some help! We are currently seeking a highly organized and detail-oriented individual to support our team as an Events Administrator over the Orientation period. This fixed term role will primarily focus on supporting students with ORI'24 event inquiries and assisting clubs with booking and co-ordinating events into our venue Haere-roa during our busy Orientation period. The successful candidate will support in ensuring the smooth communication of event requirements, providing excellent customer service, and contributing to the overall success of ORI'24 and club activities. In this role, you'll have the chance to work with a variety of student groups and clubs, supporting them in their own event planning endeavours. So, if you're ready to jump into the exciting world of event planning, we want to hear from you! Additional Event support duties during ORI'24 may be available for the right candidate. Key Responsibilities: A. ORI'24 Event Administration: Respond to student inquiries related to ORI'24 events promptly, professionally, and in a friendly manner. Provide ticketing support via email, reception, and phone, ensuring a seamless experience for attendees. Address Frequently Asked Questions (FAQs) and guide students through the ORI'24 event process. B. Clubs Event Administration: Assist clubs in the coordination of events in Haere-roa, ensuring adherence to standards and deadlines. Collaborate with clubs to complete necessary documentation such as Event Notification Forms, Run Sheets, and Production Briefs. Ensure UCSA staff members have all the required information to facilitate smooth execution of events in Haere-roa. Monitor and provide feedback on the success of events and the Clubs Booking Process, actively identifying opportunities for improvement. Work closely with clubs to gather post-event feedback, facilitating continuous improvement. Important Skills & Qualifications: Previous experience in event administration or a related field is desirable. Has a particular empathy, sensitivity and appreciation for students and the diverse ethnic, socio-economic, genders of the student body, staff and clients Strong organizational skills with a keen eye for detail. Excellent written and verbal communication skills. Ability to handle multiple tasks and prioritize effectively. Customer-focused with a commitment to delivering exceptional service. Proficiency in Microsoft Office Suite and event management tools.
