Ara's Marketing Team, as part of the Customer Experience and Engagement Division, has responsibility for marketing, public relations, corporate events sponsorship, internal and external communications and profiling Ara to future prospective students, their influencers and surrounding communities. In a constantly changing business environment, the Marketing Team is challenged to ensure Ara remains competitive with innovative multi-channel campaigns, and effective stakeholder communications and engaging events.
The Role
As Ara's Events Coordinator you will be responsible for organising and delivering Ara's corporate and recruitment events (e.g. Graduations, Careers Expo, Open Days) across all campuses and providing cross-institutional support for other events that occur, which include sponsorship events and those staged by academic department events (e.g. Student Exhibitions and information sessions), the Engagement team or Ara's executive (Te Kahui Manukura).
Duties
Produce organisational plans for all significant events
Project manage and co-ordinate budget, bookings, staffing, catering, floor plans, activities, equipment and communications for events
Organise and maintain sufficient and appropriate regalia for graduation ceremonies
Negotiate with key colleagues to put in place resources to meet the expected outcomes of events
Research, commission and purchase up to date exhibit materials and equipment that is in keeping with Ara's branding
Manage the lending of equipment to other Ara departments and staff
Maintain administrative systems, budget reports for individual events
Develop effective measurement tools to assess the success of individual events on a cost effectiveness basis.

Skills/Experience
A tertiary qualification at Degree level in an appropriate discipline eg Business or Event Management
At least two years event coordination/management experience
A high degree of multi-task project management skill
Experience organising and delivering successful events in a timely fashion and within budget
Positive and flexible attitude
Proven ability to develop and maintain positive working relationships
Strong emphasis on customer service
A “can and will do” attitude.
