About the role

The position is part of a wider Fletcher Building Legal/Company Secretariat team where the expectation is that there will be collaboration, mutual support, regular communication, sharing of ideas and advice and a ‘no silos’ attitude. An open, positive and communicative style is critical.
The Secretariat Administrator reports to the Company Secretary and the main responsibilities are:
• Attending to company administration for all group companies (worldwide) and maintaining accurate corporate records for all group companies;• Assisting with Board and Committee processes;• Managing all Group subsidiary companies, including Board meetings and filings;• Lodging the Group’s information and announcements with share registries, stock exchanges, capital market operators and corporate regulatory authorities; • Maintaining the Secretariat section of the Groups’ intranet and website Governance Framework;• Maintaining a library of the Group’s governance materials; • Maintaining the Group’s trademark database and undertaking related day to day clerical functions, such as renewing trademarks and patents; and • Maintaining all corporate governance registers, such as director interests, training records, policy exceptions and reporting on that information as required.About youYou will have worked for a listed company and have company governance experience. You’ll possess an understanding of the NZ and ASX corporate law and listing rules. Proven ability to manage competing workloads while managing stakeholder expectations, ability to prioritise work with capacity to build systems and processes to manage demand. You’ll have excellent interpersonal skills with the ability to develop trust and build rapport easily with others. You’ll be self-motivated, able to work well in a team and a very clear communicator. You’ll have excellent organisation and time management skills, take ownership for action items and willingness to achieve results.
