Details of the offer

Responsible for assisting Program Managers in execution of multiple program tasks. Incumbents of this position are responsible for tracking program tasks against budget and schedule. Supports the Program Management team with day to day project administration and PMO coordination activities and assists across a range of areas, such as but notwithstanding the preparation of deliverables, internal reports, briefings, and other requirements associated with the project being supported. This position typically works under general supervision and direction. Incumbents of this position will regularly be expected to prioritise multiple tasks.
Essential Job Duties and Responsibilities:
Supports management of programs by performing SAP administration tasks, e.g. creating and maintaining job codes for new contracts
Co-ordinates programs in accordance with the contract, company policies, procedures and department instructions
Supports the Program Managers in ensuring contracts are met in the most efficient and profitable manner
Supports program execution to meet technical performance within cost and schedule
Supports and monitors all elements of the assigned program activities from inception to completion including proposal development, product design, procurement, subcontracting, manufacturing, testing, delivery, installation and acceptance of the products
Perform program administration support tasks for various programs under the direction of Program Managers including coordination of procurement, logistics, maintenance, spares, training, testing, travel and documentation
Coordinates with other Company support groups to ensure program requirements are met.
Supports the program managers in performing the following tasks: monthly status reports; document control; Program Management Review (PMR) slides; provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking; assists in developing customer presentations
Ensures early or on-time deliveries of all required project/program documentation
Monitors programs’ Action Items (AI) lists and ensures timely completion of open AIs
Effectively work within a matrix organisation
Supports the Program Managers with financial management to ensure that profit is earned, and cash collected
Actively performs risk management and pursues risk reduction on assigned programs
Identifies program issues to the program manager with sufficient lead for timely resolution
Coordinate and prepare reports for Program Managers in a timely, accurate and professional manner.
Support Program Travel and Expense processes
Undertake routine administrative tasks as required in support of the local staff
General Duties and Responsibilities:

Minimum Job Requirements :
Qualifications
Essential:
Tertiary qualification, or equivalent, in the field of business, business administration, project management, or other relevant technical discipline
Skills/Experience/Knowledge
Essential:
Minimum 3 years’ experience performing project administrative / coordination duties
Previous experience with utilising Enterprise Resource Planning systems (e.g., SAP), preferably in a project-based environment
Strong knowledge of project management processes and tools
Skilled user of MS Office Suite (Word, Excel, PowerPoint, etc.)
Desirable:
Experience working in a technical product development environment
Experience working with technical teams and technical documentation
Working knowledge of Microsoft Visio, SharePoint, Microsoft Project
Experience with document generation including reports, and minute taking
Experience of risk and issues management as well as demand management and schedule management

Successful outcome of a National Police Check
Full drivers license preferred
