Visa Matters Ltd immigration advisory is looking for a reliable and mature Personal Assistant in Auckland. The position will report to the director. Initially, this role will be based in Massey, but once we come out of Covid-19 related restrictions fully, we may relocate somewhere else - probably in one of the West Auckland suburbs such as Massey, Henderson or Westgate.This role would only suit someone mature, thick-skinned and reliable - someone old school who would just put their head down and get the job done, a go-getter. The role requires a minimum of 30 hours per week, but hours can be increased or decreased slightly for the right candidate. Pay will depend on your level of experience.Position objective: Prepare, format, proofread and amend documents, answer phone calls, diary management and carrying out other administrative/management assistance duties.Essential role requirements and tasks: At least two-three years of experience working in a similar role in New Zealand.A very high level of professional written communication skills, including excellent spelling and grammar.Being bilingual (English [written and spoken], Hindi [spoken] - preferred but not mandatory.Preparing and proofreading letters/emails/contracts/general correspondence.Taking and transcribing dictation of letters and other documents.Strong computer skills - MS Office suite advanced level of proficiency.Preparation of documents and general administrative support such as preparing visa applications (training will be provided).Photocopying, scanning, maintaining up-to-date files and performing other management assistance duties.Filing correspondence and maintaining records.Great attention to detail and problem-solving skills.A professional but personable manner, to relate to people at all levels with a spirit of co-operation and a positive 'can-do' attitude.Answering phone calls on behalf of the manager - excellent phone manner is required.Maintaining an appointment diary for the manager.Ability to meet strict deadlines.Effective prioritising, multitasking and organisation skills.Greeting and directing visitors and ascertaining nature of business.Some travel within Auckland could be required from time to time.Bookkeeping/invoicing, following up with debtors re unpaid invoices.Performing online marketing activities for the company - there will be no sales target.Assisting with other projects from time to time.Ordering and maintaining office stationery.A very high level of integrity is required as you'll be dealing with confidential information.If you are interested in this role, please submit an up-to-date CV and cover letter with your application.Application Deadline: 9/10/2020.
