We’re providing 5* + service with matching vehicles and chauffeurs.We are an SME with tourism and business clients from across the globe. Our company is experiencing steady growth and we need a multi-talented, well presented team member to assist with this rapid growth.About the role: The role will cover ‘sales and operations’ administration, marketing, and support to the General Manager/Director. It will also involve some sales and marketing tasks and direct contact with our high-profile clients. You will also be expected to assist with some sales tasks and get stuck in to help the General Manager/Director with overflow tasks.This is a varied and interesting role for a smart, very well presented individual.In the position of this multi-talented PA, you would be responsible for and or in charge of: -Receive, interpret and summarizing email bookings and schedules from our clients,-Receive app bookings from other sources, and driver allocation for these rides.-Driver allocation and planning into the master calendar.-Request and monitor the availability schedules from contracted and employed (if any) chauffeurs.-Maintain relationships with our clients.-Interpret website bookings, discuss with General Manager/Director manager and Tour Program Director and prepare pricing where required. Scheduling rides and tours if required.-Maintain and grow client database where required.-Account administration to be discussed in detail with the General Manager/Director-In collaboration with General Manager/Director, assisting with completing a new short term and long-term business plan, mission statement, and financial forecasting.- In future in collaboration with General Manager/Director, producing a monthly P&L for monthly sales meetings, keeping budget for sales and cost of sales.-HR activities, preparing and monitoring contracts, (mainly contractor contracts). Administration of holidays and sick days of employees, if any. Monitoring logbooks and other chauffeur related legal entities.-HR activities: ensuring that chauffeurs provide their availability schedules in time and adding these schedules in a master calendar to ensure faultless ride planning.-Creation and maintenance of costing sheets for tours and rides with the goal to create company standards.-Reception task of answering the phone, and perform and communicate the derived tasks.-In extremely busy times, being able to assist with passenger pickups.About you: -You’re a self-starter and you’re used to taking initiative.-You have pride in your appearance and understand the etiquette of the proper dress code depending on the given situation.-Providing 5* + service must be second nature; our internal communication has the same standard as our external communication.-You are computer proficient and you are proficient with MS Office suite and its applications as well as proficient in business communication in general.-You have the mental and physical attributes to work within 24/7 schedules.-You have excellent time management and multi-tasking skills as well as excellent written and spoken English.-Being multilingual would be a bonus.-You’re a team player and at the same time you will have team management skills and can take charge when needed/required.
