Role Summary
We are looking for a missing piece of our Operations puzzle! A proactive, attentive Office Manager, who understands the importance of their role, and how it ties into our overall business objectives.
Main Duties and Responsibilities
Stakeholder Management
Work closely with key stakeholders to understand key business drivers and produce relevant reporting
Ongoing and effective communication, relationship management and engagement with all stakeholders to manage stakeholder expectations through regular updates
General Administration
Produce various reports for key stakeholders within deadlines
Assist in the creation and/or streamlining of operational processes, procedures and reporting
Answer telephone, provide assistance, redirect calls or take messages
Manage and assist with special projects and initiatives as assigned
Office Management
Responsible for managing the requirements of Head Office including stationery, kitchen, cleaning, repairs, furniture acquisition etc.
Provide security access cards to all relevant office staff
Liaise with the building management re: security, evacuation and WHS issues for Head Office
Raise issues with Tenant Services and follow through to resolution
IT Support
Manage the set-up of new users on email and systems, system configuration, system outages, telephones via all outsourced IT providers
Order new hardware and software as required and ensure IT operating standards are maintained
Issue and monitor usage of SIM cards for mobile devices as per the Avocado Mobile Phone Policy
Manage tickets within the Avocado Helpdesk to ensure they are responded to and closed within the agreed SLA
Provide 1st level IT support for office staff to assist with troubleshooting issues in helpdesk tickets
Manage Office 365 subscriptions and licences for users within the online portal
