Office Coordinator Part Time At Arup we are dedicated to shaping a better world For more than 70 years we have helped bring to life groundbreaking projects across the globe from the Sydney Opera House to the Beijing Bird s Nest We offer a broad range of professional services that combine to make a real difference to our clients and the communities in which we work Our Office Coordinator is at the forefront ensuring the day to day running of the Auckland office and we re looking for someone that exudes energy is a team player with a strong initiative to support the current and future needs of our office This is a parttime role working Monday Friday 5 hours per day and we re flexible on start time You ll be kept busy Overseeing day to day office operations e g kitchen is tidy dishwasher fridge is cleared meeting rooms are tidy post collection and drop off IT equipment is working faults logged Oversee access and building security while working in conjunction with building management Review office facilities and strive to minimise costs Prioritise monitor and deliver building maintenance and office equipment requests and ensure follow through and completion of tasks Inspect office and building facilities to determine the need for repairs or renovations Assist with annual budget requirements and keep financial and nonfinancial records Managing vendor contracts for office supplies Be the main point of contact onsite for all visitors to the New Zealand office To achieve in this role you are likely to Be proactive in engaging with relevant groups to raise or highlight issues and work together to resolve the issues Be selfmotivated and enthusiastic The ideal candidate must be selfaware able to manage own resilience and be sensitive to others Demonstrate solid experience in a similar role ideally in professional services Enjoy providing high level of client and customer service with a focus on the overall team Highly organized with strong time management skills Proactive selfmotivated individual with excellent communication and interpersonal skills Able to work independently as well as part of team supporting multiple teams and levels internal and external At Arup you ll be a welcomed member of the team with opportunities to participate in cultural and social events with the local community or by joining one of our staff networks for women culture or LGBT If this could be the next step in your journey hit apply and send through your CV and cover letter
