Office Management (Administration & Office Support) Te Runanga Nui o Te Aupouri is seeking an experienced Office Administrator, ready to support our team and whanau at our Te Kao office. ROLE PURPOSE: To provide professional administrative duties for the Runanga, maintaining high standards of service to Whanau ensuring the needs of Whanau and the Runanga are met. SPECIFIC DUTIES & RESPONSIBILITIES Maintain efficient office procedures for filing and record management. Preparing business correspondence, typically using Microsoft Office (Word, Excel, PowerPoint, Access, Outlook). Support staff in assigned project based work. Assist with organisation of Iwi hui/events Booking travel and accommodation and other ad-hoc duties as required. General administration. Contribute to streamlining processes within the office. Support the SLT (Senior Leadership Team) with administrative tasks Minute taker of all staff & SLT meetings including but not limited to H&S meetings Assist Asset Manager to establish asset register software Maintain asset register software Develop and maintain maintenance register of all assets Manage and maintain vehicle fleet including scheduling Repairs and maintenance, WOFs and Registrations Support the Office Manager with the AGM preparation Scheduling and coordinating meetings, interviews, events and other similar activities Organise catering for hui Raise accounts payable invoices using the company's accounting system in accordance with standard company processes pertaining to Asset Managers projects Assist Receptionist with maintaining Tikios and provide Office Manager with reports when required Provide cover for receptionist when out of the office From time to time you may be required to perform duties outside of the scope of this job description to support Te Runanga Nui o Te Aupouri Trust and its subsidiaries as and when required by the CEO. GENERAL DUTIES & RESPONSIBILITIES Be punctual and work the hours and times specified. Prioritize workload to ensure work of the greatest importance to the business is undertaken with urgency and to a high standard. Support and help develop a positive workplace culture. Demonstrate excellent interpersonal communication skills. Responsibly manage all business resources within accountability levels. Undertake all duties and responsibilities outlined in this job description and all other duties as required by the business. Comply with all employment obligations. Strong customer service skills. Well presented at all times. Able to multitask between tasks.
