Who we are
The University of Otago turned 150 years old in 2019 and is New Zealand's first and oldest University. It has a strong teaching and research tradition and well-established national and international linkages. It is also one of New Zealand's largest universities, with approximately 3,400 full-time equivalent staff based in Dunedin, Christchurch, Wellington, Auckland and Invercargill.
Client Services provides administrative support to the wider University. Our staff have a wide variety of different specialties, handling broad tasks such as diary management, document drafting, organising travel arrangements, recording meeting minutes, or acting as a point of contact for staff, students and visitors.
The Client Services team is part of the Division of Shared Services, a broader family of staff focused on delivering an outstanding student and staff experience through high quality, effective service delivery. We are often embedded or physically located within the areas of the University that we support.
About the Role
Based in Timaru, you will provide proactive administrative support and work closely with the Associate Dean South Canterbury (who also holds the Associate Dean Student Experience role for the Division of Health Sciences). You will become a trusted point of contact for a range of students, staff and visitors. A strong customer service focus is critical to success in this role.
Accountabilities may include:
• Flexibly providing a wide range of administrative support including teaching administration, diary management, document drafting, reception, correspondence and document management; organising travel and records management.
• Providing administrative support and liaison between students, University staff, DHB staff and visitors.
• Using University systems to update databases, extract data, provide reports, transcripts and other relevant data.
Your Skills and Experience
• Proven experience in a busy administration role where high levels of customer service delivery are expected.
• A passion for delivering exceptional service to customers.
• Have strong organisational skills.
• Proficiency in the Microsoft suite of programmes.
• A drive to work with students and a desire to assist in their success.
Administrative experience in a hospital and/or academic setting is desirable.
