We're looking for a candidate to fill this position in an exciting company.? Program Management
Defining, implementing, refining and managing program governance controls that brings visibility and control to all projects within company-wide programs.
Responsible for identifying and illustrating dependencies within a program and cross-program, and subsequently to schedule work to reduce the impact of blocking dependencies.
Ability to capacity plan for all project resources across a varied program of work to provide a clearly understood work allocation that can be used for a time bound roadmap to demonstrate the program plan over the next two to three quarters.
Capability to manage these process within a strategy level road mapping tool.
Continuous liaison with the CTO and COO to understand the primary drivers and strategic priorities.
Report on the status of all programs / projects to CTO and COO (client representative in some cases).
?Project Management
Ultimately responsible for the planning, implementation, management, and control of projects globally (assisted by a Project Manager)
Defining, implementing, refining and managing project management governance controls that implement processes for managing the key gates during the project lifecycle.
Run projects from inception and develop them into mature and comprehensive project plans capable of being implemented
Responsible for the transition of projects to implementation (personnel and infrastructure securement, allocation, briefing and deployment)
The development of project schedules, budgets, risk registers, issues lists and full project documentation in accordance with C3PT development processes
Manage and influence expectations and involvement of stakeholders to create successful project outcomes
Detailed level tracking, control, and management of plans specifically through management of projects in Jira project management software and associated tools
Co-ordination of release management activities
Administration of the company project management system (Jira)
Early issue identification, escalation and resolution
Track project deliverables by monitoring compliance with the project plan, liaising with those involved in current projects and ensuring they are able to meet predetermined deadlines
Change Management
Ability to plan, develop, implement and track organisation wide changes that may be related to PMO processes and tools, but may as be corporate level initiatives the team are asked to organise.
Develop, deliver and manage communication, stakeholder, training, engagement, adoption, and resistance management.
Ability to build relationships with internal and external stakeholders in order to gain buy-in to aid successful change adoption and enablement.
Cost Management
Determine required resources and associated costs of resources (personnel costs as well as hardware and software costs) to produce and allocate cost estimates
Use costings to develop a project budget, gaining approval from relevant stakeholders or business owners
Monitor and control expenditure within budgets including on-going costs for departmental and platform tools / software.
Time Management
Identify specific activities that must be performed to produce the project and program deliverables, sequencing them and documenting identified interdependencies
Control necessary changes to the project schedule and update all stakeholders, as necessary
Identify, track, and manage critical paths and milestones within the schedule to ensure timely delivery of projects
Personal Management
Day to day management of individuals to maintain a cohesive and high performing PMO Team
Employ people management strategies guided by HR to lead, coach, mentor, and monitor the performance of staff ensuring individuals are motivated and working effectively
Ensure administration and timely completion of staff 1-1s, performance reviews, goals, and regular review and updating of position descriptions
Based on team culture feedback, work closely with HR to drive the desired cultural change for the PMO Team by implementing strategies to improve employee engagement
Timely completion of onboarding tasks including the facilitation and preparation of documentation, training calendars and system set-up for new PMO staff
Monitor and manage the personnel requirements for the project as per the scope statement
Liaise with C3PT Technical Teams, and HR to acquire, schedule and assign appropriate personnel to projects
Liaise with contractors and business managers to monitor and manage the performance of project team members
Learning and Development
Work closely with the COO and HR department to identify and recommend training, including both technical skills and professional development requirements for team members
Identify development pathways through career discussions to develop, motivate, and retain team members
Demonstrate a proactive commitment to ongoing learning and development
Mentor and educate team members about best practice where appropriate
Where appropriate, liaise with business managers to identify development requirements, sourcing relevant training as necessary
Communications Management
Continuous liaison with Executive team in UK and NZ to understand the primary drivers and the priorities for the way ahead
Facilitate and manage communication throughout projects
Act as a communication conduit between all team members and stakeholders to ensure everyone is aware of updated priorities or modifications to the project management plan
Provide regular updates as to project progress to the wider team
Decision Making
Demonstrate the reasoning behind decisions taken on projects/issues/resourcing and ensure they align to PMO and Company objectives
Ensure contentious decisions that have been taken are communicated upwards to the CTO
Justify decisions
Risk Management
Identify and document possible financial, commercial, and technical risks likely to affect the project / program.
Evaluate identified risks and interactions that assess the possible project outcomes
Identify and define risk responses to produce a contingency plan and mitigation strategies
Monitor and manage the risks during the project and execute the contingency plan and mitigation strategies as required
Supplier Management
Monitor the performance of suppliers and manage the relationship and contract to ensure cost effective delivery of products and services within specified time frame
Subject Matter Expertise
Apply subject matter expertise to projects, tasks and support issues where practical
Provide responses to clients where applicable or undertake investigation and analysis before delegating remaining work to other team members
Drive the ongoing implementation of program and project management best practice

Occupational Health & Safety
Responsible for taking reasonable care to ensure own safety and health at work, and to avoid adversely affecting the safety or health of any other person at work
Ensuring adherence to organisation-wide policies, procedures and monitoring the compliance of all team members
Responsibilities on Demand
Due to the fluid and dynamic environment within the group, new, additional or amended position responsibilities may be required at any time
Successful demonstration of change orientation is an ongoing responsibility of all positions

? Formal Project Management training (CAPM, PMI, Prince2, etc)
Formal Program Management qualification (PgMP, MSP)
Agile project management
?Experience
Track record of successful IT program and project delivery (which is verifiable)
Technical Expertise
Demonstrates advanced expertise in or understanding of:
Experience in designing and implementing processes in Jira for project, task, and issue management
Experience in projects which have delivered Microsoft .Net multi-tier Web based IT solutions Understanding of program and project management methodologies
Report writing that targets a variety of audiences
Expertise with Microsoft Office (Outlook, Excel, Word, Powerpoint, etc)
Experience of managing programs of work for Jira based projects (Aha Roadmap preferably)
Prefer:
Experience in the world financial markets
Hands on Technical skills (basic SQL, Excel Macro Language, etc)
Experience with SharePoint and Confluence
BA experience
Testing/QA Experience
