ABOUT THE ROLE
We have recently undertaken an Executive Support Review and now have exciting opportunities for an experienced EA to provide support to members of the Executive Leadership Team.
As the Executive Assistant you are expected to provide outstanding and proactive, executive level secretarial and administrative assistance and support. You must also have an ability to exercise considerable initiative and take a big picture approach by anticipating the manager's operational needs in advance. Maintaining effective relationships with key internal and external stakeholders is crucial to this.
DUTIES
Email and diary management.
Help coordinate a busy team ensuring they have what they need to get their jobs done.
Organise and book travel and accommodation.
Coordinate various programmes of work across the team.
Act as a key point of contact and trusted team member.
Pre-empt managers' need and identify priorities and risks.
Develop and embed administration processes.
Bring fresh new ideas to the team
Support the preparation of papers and follow up of actions for the CCDHB Board meetings and subcommittee meetings
SKILLS & EXPERIENCE
As the Executive Assistant to two Managers this role will be fast-paced and require the ability to naturally prioritise.
Proven experience and a track record of success, in a similar senior administrative role
Highly developed written and oral skills - the ability to communicate ideas in writing and verbally
Excellent word processing and PC skills with an advanced knowledge of MS Word and MS Excel, and an intermediate knowledge of PowerPoint
Experience in a corporate environment dealing with stakeholder and customer relations is required.
Demonstrated ability to interpret legislation
Understanding of the health environment
Project management experience
Personal and professional integrity
Mature and reflective judgement - the ability to make good decisions under pressure and to handle a range of competing pressures at one time
