Details of the offer

The purpose of the Executive Assistant role is to provide administrative and operational support for the one or more executives (in this case: Head of HR, Head of Legal and Chief Information Officer). The role also works closely with the other Executive Assistants and Office Coordinators in the company to provide effective and efficient day-to-day services and support to internal and external customers. It is vital that the Executive Assistant understands the structure and business of Cigna to enable the development of appropriate administration solutions and the provision of efficient and effective services across the organization.
Critical Tasks and Expected Contributions / Results:
Financial:
Plan and manage all travel and accommodation for executives, ensuring cost effectiveness
Manage travel, accommodation, catering and venue requirements for conferences, meetings and functions hosted by executives, ensuring cost effectiveness
Process expenses for executives, ensuring these are submitted on time
Manage the receipt and payment of invoices. Monitor and report executive expenses to ensure cost effectiveness
Customer:
Screen telephone calls, field enquiries, proactively manage requests and escalate urgent matters
Manage diaries and email for executives
Manage technical equipment requirements
Communicates and/or co-ordinates executives’ instructions with various individuals and/or departments
Process:
Produce general correspondence, presentations, reports etc. of a confidential nature, on behalf of executives and their teams
Maintain hard and soft copy filing systems
Identify and act on opportunities to improve effectiveness and flow of office activities
Provide central coordination and 'help desk' services for office administrative and operational services
People:
Act as central liaison point for communication between executives and direct reports ensuring harmonisation and consistency of information
Risk/Compliance Behaviours:
Ensure all travel arrangements are within company policy
Maintain confidentiality where required
Experience/ Education /Knowledge Requirements:
2+ years’ administrative work experience or significant scope across a wide variety of administrative functions
Experience in administration in a fast paced environment
Experience in a large multinational organisation is preferred
Financial or insurance industry experience would be ideal
High degree of computer literacy in Microsoft applications (word processing, spreadsheets, databases), file management, e-mail and the internet
Good level of communication skills both written and verbal
Ability to travel as required

Ability to convey information and ideas accurately and clearly, with strong written and oral communication skills to be able to provide sound advice, build relationships, present ideas and arguments, influencing others and negotiating solutions, and the ability to adjust communication style to suit the intended audience
Hands on, results and action oriented with determination to drive for results and meet deadlines
Capable of managing conflict, change, and resolving problems in a dynamic environment
Attention to detail and accuracy
Strong time management and prioritization skills
