Deep experience and capability with a genuine care about creating better lives for people along the way.Be part of the team that's up for the challenge of transforming lives for good.The Role:John Holland is currently seeking an experienced Quality Administrator/Document Controller to join their quality team on a casual part-time basis, on the Southern Stations Project in Auckland, New Zealand.
This is an exciting opportunity to be part of a project that will have a lasting impact on Auckland's rail infrastructure.This role involves managing various aspects of document control, including receipt, storage, retrieval, circulation, review coordination, external submission, and distribution control.
You will also provide administrative support to the project, such as data entry, maintaining quality records, and compiling reports.Key Responsibilities:Assist the Quality Team in maintaining up-to-date records of work progress.Compile lot records, chase and close out missing information as required.Create and manage internal logs for tracking document control activities (e.g., Project Document Registers, Authorization Lists, Transmission Logs).Organize and track document exchange between relevant parties, including clients, subcontractors, and the project office.Verify document submissions for consistency with project branding and format requirements.Establish and maintain a correspondence tracking system, including progress tracking and follow-up communications with project team members.Manage the distribution, collection, and processing of documents in line with project guidelines for design documents, instructions, certifications, and records.Implement and maintain a project-related document control register, database, and filing system.Manage storage and filing of project and company records.Conduct on-site checks to ensure project standards are met.Keep logs for completion and handover processes.What We Are Looking For:A relevant qualification in Business Administration, Finance, Human Resources, or related disciplines.1-3 years' experience in document control.Records management skills.Knowledge of project management systems and processes.Experience in a project environment or similar industry.Aconex experience.What We Offer:Career progression: Opportunities to work on iconic projects shaping cities and communities.Inclusion, diversity, and equity: A culture that fosters belonging, supported by active employee resource groups focusing on gender equality and reconciliation.
