Key tasks include but are not limited to:
Provide exceptional customer service over the phone, email and face to face
Maintain and update the customer database to ensure all customer contact records are accurate and up-to-date
Maintain standard administration systems including templates for correspondence and presentations
Maintain a high level of professionalism working with sensitive and highly confidential information
Processing orders by generating and delivering quotations, invoices and purchase orders
Perform inventory and stock reconciliations
Assist customers with telephone queries
Direct customer queries internally to ensure the appropriate department has followed up
Working with our production team to ensure timely processing and delivery of customer orders
Communicate with customers either by telephone or email as directed
Booking couriers and ensuring all outgoing jobs are picked up by the end of the day
Packaging and labelling of outgoing goods
Shipping of outgoing goods, where required, to 3rd party service providers
Answering and directing calls to the appropriate department or team member
Greeting guests and visitors to the office
Assisting our sales team on sales queries and office-based functions when required
Receiving inward goods, checking quantities with purchase orders, liaising with departments or team members that goods have arrived, including mail and its distribution
General administrative tasks such as typing, printing, data entry, filing and archiving
The ideal candidate will possess:
General clerical experience - medical device manufacturing setting is an advantage but not essential
Excellent customer service, communication and interpersonal skills
Strong computer literacy and accurate data entry skills
Demonstrated ability to multitask and prioritise work within set time-frames
Ability to follow set instructions and standard operating procedures to deliver set outcomes
Commitment to quality improvement processes
Highly developed organisational skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment
Strong attention to detail
Experience in MS Office (Outlook, Word, and Excel)
