We are seeking a dedicated Clinical Administrator to join our team.
The main focus of this role is to perform transcription duties and manage patient bookings in line with Waitaha Canterbury standards and the Ministry of Health (MoH) targets.
You will receive support and guidance from the Team Leader, Service Manager, and Clinical Director/Triaging Clinician.This position is permanent part-time working 20 hours per week, flexible with hours and days.As part of the Administration and Clerical Pay Equity Claims settlement, this role has been mapped to National Band 4 steps /Profile 4A.For further information about the administration and clerical pay equity settlement, please follow the link below:Key ResponsibilitiesProvide exceptional customer service to patients, clinicians, and visitors.Maintain confidentiality and privacy of all patient information.Handle front-of-house duties, ensuring smooth patient flow and clinic operations.Ensure accurate data entry in the Patient Management System (SI PICS).Manage patient bookings following prioritization protocols, ensuring compliance with Planned Care (MoH) standards.Communicate clearly and timely with patients regarding their appointments and treatment.Ensure clinic bookings align with the clinic template.Maximize clinic utilization and minimize cancellations.Prepare and manage clinic outcomes following business rules and National Patient Flow requirements.Inpatient Bookings and Waitlist ManagementCoordinate surgical lists with surgeons and service managers, ensuring the greatest need is prioritized.Manage cancellations and ensure accurate waitlist management according to clinical requirements.Transcription DutiesComplete dictated letters within the set timeframe (3-5 days).Ensure all outgoing correspondence is processed within 24 hours of clinician sign-off.Communication SkillsMaintain professionalism and positivity in all interactions.Ensure clear, accurate, and responsible communication across all channels.Strong customer service skills with a focus on patient care.Experience with data systems and ability to quickly learn new software.Excellent organizational, time management, and problem-solving skills.High attention to detail and ability to meet deadlines.Proficiency in Microsoft Office (Word, Excel, Outlook).Previous experience in healthcare administration.Knowledge of medical terminology.Familiarity with public hospital systems, including the patient management system.Why Join Us?
