Permanent, full-time

Monday - Friday

You will be part of a team providing Administrator/Receptionist to our home and community support services team across the Gisborne and East Coast regions.

We are looking for a positive and enthusiastic who enjoys a varied workload to join our busy team. This position is based in the Gisborne office.

What you will do

Responsibilities include the following:

Reception

Maintain tidiness in the reception area to a high standard at all times
Phones are answered promptly and politely and messages are recorded accurately and followed up with appropriately
All visitors (internal and external) are greeted warmly and their enquiries are dealt with in a friendly professional manner
Queries from clients, support workers or stakeholders are managed confidently and calls redirected to the appropriate coordination staff or Team Leader/Manager as required
The reception work load is managed to ensure provision of a timely, effective service
Reception, meeting rooms and staff facilities are kept at a professional level at all times
In and out board is maintained, whereabouts of all office staff is monitored for health and safety reasons

Administration
All Referrals received are documented and processed in a timely manner
All leave applications from Support Workers are processed and sent to Payroll in a timely manner
All timesheets received and correlated and sent to Payroll in a timely manner
Assisting Coordinators to cover leave as required

What we are looking for:

Administrator who has ideally at least one to three years' experience
Excellent organisational and analytical skills, accuracy and attention to detail
Ability to work on your own initiative without supervision
Excellent interpersonal and communication skills
Recognition of requirement to work with policies and procedures
Advanced competency in Microsoft Office, Outlook and CMS software skills
Exceptional time management to manage priorities of a busy workload
