D M Holdings is a diverse, Dunedin based business which services the lower South Island for Pest Control, Tree Services and Agricultural Spraying.

Due to our current administrator moving cities, we are seeking to employ a suitably experienced administrator preferably with Health & Safety experience.

We need someone who:
Is ORGANISED and can organise others.
Has experience in administration.
Has Health & Safety knowledge and can continually adapt and implement H&S policies and procedures.
Can think outside the box and find solutions to problems.
Has accounts experience.
Has excellent written language skills.
Is proficient in Microsoft products.

The successful applicant would have the following responsibilities:

General Administration
• Coordinate office activities and operations to ensure efficiency
• Manage correspondence (e-mail, phone calls, packages etc.)
• Check staff hours against job sheets and send payroll details to the accountant
• Manage agendas/travel arrangements/appointments etc for staff & directors
• Write invoices and monitor accounts through Xero
• Chase any outstanding accounts
• Complete job tracking and contract reporting requirements
• Compile incoming bills for director approval and then process payment
• Manage all ‘Approved Contractor’ requirements for corporate clients.
• Create and update training records and databases with personnel, financial and other data
• Submit timely reports and prepare presentations/proposals/tenders as assigned
• Assist colleagues whenever necessary in both administration and field work documentation
• Visit job sites and work alongside staff when required to gain an understanding of field requirements.
• Any other administration or health and safety related tasks as requested by company directors

Health & Safety
• Continually update and implement health & safety policies and procedures; research and stay up to date with current legislation and industry best practice
• Conduct internal health & safety compliance audits on staff working on site
• Assist field staff with paperwork arising from accidents/incidents, hazard identification etc.
• Maintain accident/incident register and hazard register
• Report on health & safety events & statistics and any updates to health & safety procedures at quarterly company meetings
• Maintain a calendar of health & safety requirements for the year (meetings, audits, reviews etc)
• Assist management with annual review of all health & safety documentation, policies & procedures

Marketing
• Design posters for use on social media platforms
• Conduct market research on pricing structure and market value.
• Maintain a client database and produce newsletters and promotional documents.
• Update website photos and text when required.
• Assist with the development of, and delivery of a marketing budget.

This is a minimum 20 hour per week role at present, but there is scope to work up to 30 when required. We are flexible about days/times worked and this may suit someone who wishes to work around the school timetable.
