We're seeking a dynamic individual to fill the role of Administration Coordinator and PA Support. This is your chance to be the backbone of our operations and work closely with the Executive Leadership Team in a fast-paced environment. We are currently implementing and reviewing several new systems that will change the way we work going forward, we are looking for someone to join our team on a 12-month fixed term who has the flexibility to work with us while administration tasks are reviewed and updated. Key Responsibilities: Front of office/reception tasks Support with recruitment: Arranging interviews and documentation. Calendar Management: Juggle multiple schedules with finesse, ensuring optimal time management for executives. Meeting Coordination: Be the wizard behind successful meetings - from scheduling to preparation, minutes, and follow-up. Communication Excellence: Handle emails, calls, and correspondence with precision, representing the organisation professionally. Travel Arrangements: Navigate travel logistics effortlessly, ensuring smooth journeys for our team. End-of-month financial responsibility: Whaikaha Reporting and collaborating with the finance team. The office go to. Skills and Qualities: Proven experience in administrative support roles. Some experience with recruitment administration would be preferred but not essential Exceptional organizational and multitasking abilities. Strong communication skills, both written and verbal. Proactive problem-solving mindset. Tech-savvy with proficiency in office software.
